Conference & Meeting Planner

 

Capitol Hill Management Services (CHMS) is seeking a successful, creative and experienced Conference and Meeting Planner, to join our growing team. The preferred location for this position is in our Albany, NY Office.

 

CHMS has been providing quality association management services to organizations for over 40 years. We provide a variety of services for a wide range of private and non-profit clients, including major event planning services (conventions, conferences, trade shows, symposiums, meetings, and special events). CHMS is growing and adding new clients across the country.


The Conference & Meeting Planner, works in conjunction with the Director of Conferences and Meetings and with Association Managers, to produce client events from conception through completion. Duties include:

 

  • Event planning, design and production of events with 500+ attendees.​

  • Planning and assisting with delivery of virtual conferences and events.

  • Managing all project delivery elements within established time limits.

  • Liaise with Association Managers and client leaders to identify needs and ensure client satisfaction.

  • Oversee RFP process via Cvent.

  • Provide feedback and periodic reports to stakeholders.

  • Propose ideas to improve provided services and event quality. 

  • Point of contact with venue and third-party vendors regarding event details, such as set-up, catering, transportation,    location, décor, equipment, promotional materials, etc.

  • Proactively handle any arising issues and troubleshoot any emerging problems throughout the planning process.

  • Demonstrated ability to work as part of a team, multi-task, prioritize, and be adaptable.

  • Travel is required.

 

DESIRED QUALIFICATIONS
 

CMP preferred, with Bachelor’s degree in event management or related field, 5+ years of proven experience in the oversight of large multi-day professional conferences of over 500 attendees.  The ideal candidate will also possess; excellent time management and communication skills, be well-organized, detail-oriented, personable, flexible and customer-focused. We are looking for a self-starter with ability to work independently, simultaneously manage multiple projects, and meet tight deadlines, excellent writing and editing skills and willingness to travel. Candidates should also have experience with Microsoft products, Cvent and Adobe.
