Director of Conference Management
The Director of Conference Management oversees the Conference and Meeting Planning (C&MP) Department, evaluates the needs of each meeting client, oversees the contracting process, and leads a team of Event Planners in daily duties to ensure the continued success of Client events. This position reports to the Vice President of Administration. The ideal candidate must thrive in a fast-paced environment and work independently and multi-task successfully.

Responsibilities:

Work with Association leadership to identify conference and meeting needs, timelines, and budgets.

Assign appropriate staff to work with Association Managers to design and implement successful events, with an ongoing focus on continuous improvement, while staying within defined parameters.

Work with Association Managers to provide training on best practices, policy, and procedures, and provide mentoring in the areas of skill development, event design, contract negotiation, and event quality. Supervise the C&MP staff, setting performance goals and client objectives, providing guidance, support, problem-solving, and ongoing training to ensure a high-performing department.

Ensures that CHMS contract templates limit financial liability and to protect the interests of the client.

Oversight of the sourcing process from RFP to contract signature. Ranging from venue to third-party providers including AV, decorator, transportation, and entertainment.

Provide planning and onsite support to high-level and international clients.

Participate in site visits with clients to help define the best venue for their events.

Participate in interview, hiring, and review process for positions supervised.

Stay current with the latest trends and news for conference and meeting services including venues, hotels, event management technology, and service providers to support client events.
Qualifications include:

Bachelor's Degree required.

10+ years of experience in all areas of Conference and Meeting Planning.

Strong interpersonal and collaborative skills required to give direction and guidance to staff involved in event/meeting planning assignments.

Highly motivated, professional, dependable and results-driven.

Technical and professional skills in management as well as strong organizational, problem-solving, and communication skills.

Extensive experience in all aspects of Meeting Planning, from conception to execution.

Extensive knowledge of overall Meeting Planning practices.

Knowledge of Microsoft Office - Excel, Word, PowerPoint, Outlook, Cvent, and Stova.

CMP required, CMM preferred.

Ability to travel 25%-30% of the time, more during heavy conference seasons.
